This Privacy Policy explains how VA Medical Opinions (“VAMO,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with this website and the research services we provide.

1. Who We Are

VAMO is a clinical research consultancy. We prepare independent medical opinions, claim file review and evidence analysis for legal teams, and vocational assessments for Social Security Disability matters. We are engaged by law firms, accredited representatives, and individual claimants.

We do not provide legal advice, legal representation, or medical treatment, and we do not guarantee the outcome of any claim.

2. Scope of This Policy

This policy covers information collected through vamo.vet and through the intake and delivery of our services. Where we act under a separate written agreement with a law firm or organization, that agreement governs the handling of case materials and controls if it conflicts with this policy.

3. Information We Collect

Information you give us directly

  • Name, firm or organization, email address, and telephone number
  • A description of the medical or vocational question at issue
  • Correspondence you send us by email, telephone, or text message
  • Billing contact details

Case materials and health information

To perform our work we receive documentation that commonly includes VA claim files (C-Files), service treatment and personnel records, examination reports and Disability Benefits Questionnaires, rating decisions, private and VA treatment records, imaging, laboratory results, specialist reports, and employment history. These materials frequently contain sensitive health information.

Records should be submitted only through the secure request portal we provide. Please do not send health information through the website contact form or by ordinary email. We will confirm an appropriate transfer method before you send anything.

Information collected automatically

  • IP address, browser type, device type, and operating system
  • Server log data such as pages requested and referring pages, retained for security and troubleshooting
  • Approximate location derived from IP address

Payment information

Invoices are paid by credit card, debit card, or health savings account card. Card details are processed by our payment provider. We do not store full payment card numbers.

4. How We Use Information

  • To respond to enquiries and scope a potential engagement
  • To determine whether we are able to prepare an opinion or assessment
  • To perform the research, analysis, and drafting you engage us for
  • To communicate about an active matter, including addenda and clarifications
  • To issue invoices and collect payment
  • To maintain the security and integrity of our systems
  • To meet legal, regulatory, and professional obligations

We do not sell personal information, and we do not use case materials or health information for advertising or marketing.

5. Confidentiality of Case Materials

Case materials are accessible only to the personnel working the matter. That may include our clinicians, retired VA rating specialists, credentialed vocational experts, and the administrative staff who support them. Access is limited to what each role requires.

Where an engagement is firm-only, we correspond with counsel rather than the claimant, if that is the scope you set. Where a written agreement or a business associate agreement applies to a matter, we handle the records under its terms.

We do not disclose case materials to other clients, and we do not use one matter’s records to support another.

6. Sharing and Service Providers

We share information only as follows:

  • With the engaging firm or representative, as directed by the scope of the engagement
  • With our clinical and vocational experts, to the extent needed to perform the work
  • With service providers who operate our infrastructure, including website hosting, content delivery and security, email delivery, form processing, and payment processing
  • Where required by law, or in response to valid legal process
  • With your consent, including optional public recognition described in Section 9

Service providers are permitted to use information only to provide services to us.

7. Cookies, Analytics, and Embedded Content

We do not use Google Analytics, advertising pixels, or third-party behavioural tracking on this site. We do not build advertising profiles, and we do not sell or share information for cross-context behavioural advertising.

The cookies this site sets are functional: they support core features such as page delivery, security, and form handling. Because we do not run analytics or advertising trackers, no consent banner is presented. You can block or delete cookies through your browser settings without affecting your ability to contact us or to use our services.

Some pages embed third-party content, including online forms and mapping services. Those providers may set their own cookies and receive your IP address when the embedded content loads. Their own privacy policies apply to that processing.

We use spam-prevention measures on our forms, which may process limited technical data to distinguish human visitors from automated traffic.

8. Text Messages

If you provide a mobile number and ask us to use it, we may contact you by text message about your enquiry or an active matter. Message frequency varies with the matter. Message and data rates may apply. You can stop text communication at any time by replying STOP or by telling us in writing. We do not send marketing text messages.

9. Testimonials, Reviews, and Donor Recognition

We publish reviews and testimonials only where the author has made them publicly available or has agreed to publication. These may include a first name, last name, and general location.

Sponsors who fund a medical opinion through the VAMO Donation Initiative may choose to be recognised publicly, which can include a name, an organization name, and a link to an organization website. Recognition is optional, is arranged in advance, and can be withdrawn on request. Sponsors are not told the identity of a recipient unless that recipient chooses to share it.

10. Data Retention

We keep information only as long as we need it:

  • Website enquiries that do not become engagements: generally up to two years
  • Form submissions stored on the website: retained for a limited period and then purged
  • Case materials and work product: retained for the period set in the engagement terms, and longer where a professional or legal obligation requires it
  • Billing records: retained as required for tax and accounting purposes

We return or dispose of case materials in line with the engagement terms and any applicable agreement.

11. Security

We use access controls, encrypted transmission, a secure intake portal, and reputable infrastructure providers to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your information has been compromised, contact us immediately using the details in Section 15.

12. Your Choices and Rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, to request correction or deletion, to object to or restrict certain processing, to withdraw a consent you previously gave, and to be free from discrimination for exercising these rights.

Where the information is case material held on behalf of an engaging firm, we may direct your request to that firm, because they control those records.

13. Children

This website is not directed to children, and we do not knowingly collect personal information from children through it. Case materials may include information about a minor dependent where the claim itself involves one; that information is handled as case material under Section 5.

14. Changes to This Policy

We may update this policy from time to time. The revised version takes effect when posted, and the date at the top reflects the most recent revision. Material changes affecting an active engagement will be communicated directly.
